Refund & Cancellation Policy
Transparency in Every Engagement
At DigiBayt, our goal is to build long-term partnerships through exceptional design, high-performance engineering, and dependable cloud operations. We believe in clear, fair, and transparent billing practices. This Refund & Cancellation Policy defines the terms under which cancellations and refunds are administered for our digital products and professional services.
1Custom Development & Design Projects
Custom web, mobile, and software development projects require significant upfront research, architectural planning, and specialized engineering labor. Therefore:
- Initial Deposit: The initial project kickoff deposit covers initial discovery, requirements scoping, and technical architecture. If a project is cancelled by the Client before any wireframes, Figma prototypes, or code repositories are commenced, a refund of the deposit minus a 10% administrative processing fee is issued.
- During Active Design & Development: Once project work has commenced (e.g. approved UI mockups, frontend components, or backend APIs developed), refunds are evaluated on a pro-rata basis based on deliverables completed up to the cancellation notice date. Completed and approved milestones are non-refundable.
- Final Delivery & Deployment: Once custom software has been accepted, approved for launch, or deployed to the Client's live production environment or app stores, the total project fee is considered fully earned and non-refundable.
2Hosting, Cloud Management & Retainers
- Monthly Retainers (SEO, Maintenance, Cloud Support): You may cancel ongoing monthly retainers at any time with a 15-day written notice prior to the next billing cycle. Services continue through the end of the paid billing month, with no further charges.
- Annual Managed Hosting Plans: If you cancel an annual hosting plan within 30 days of initial purchase or renewal, you are eligible for a prorated refund for the unused full calendar months, less setup costs.
3Non-Refundable Expenses
The following third-party out-of-pocket costs are strictly non-refundable once incurred:
- Domain name registrations, transfers, and renewals
- Third-party software, fonts, or asset licenses purchased on your behalf
- Direct ad spend disbursements (Google Ads, Meta Ads)
- WhatsApp Cloud API message fees paid directly to Meta
- Dedicated SSL certificates and specialized cloud provisioning fees
- Overdue payment late fees or chargeback dispute administrative costs
4How to Request a Cancellation or Refund
To initiate a cancellation or refund request:
- Submit an official written notice via email to hi@digibayt.com or your designated Project Manager.
- Include your Project Name, Invoice Number, Company Name, and the specific reason for cancellation.
- Our management and finance team will review the request against the current SOW milestone logs and respond within 3 to 5 business days with a written resolution.
5Processing of Approved Refunds
Once a refund is formally approved in writing, it will be processed within 5 to 10 business days. Refunds are issued exclusively via the original payment method (bank transfer, UPI, or payment gateway) to prevent financial fraud.
